2. Information we collect
When you request an appointment, we collect the information you choose to provide: your name, mobile number, optional email address, preferred date and time, treatment or concern, and any optional message. If you contact the clinic by phone, email or WhatsApp, the clinic also receives the information contained in that communication.
Our hosting provider may automatically record limited technical information such as IP address, browser type, requested page, date and time, and security or error logs. The Google Analytics tag loads in consent mode with analytics storage denied by default and may send limited cookieless measurement signals. If you allow analytics, fuller usage information such as pages viewed, approximate location, device and browser information, and appointment-journey events is measured. We do not send names, phone numbers, email addresses, treatment selections, messages or booking references to Google Analytics. The website does not use advertising or behavioural-profiling tags.
3. Why we use it
- To respond to and administer your appointment request.
- To contact you about availability, treatment enquiries or changes to your request.
- With your permission, to understand website visits and whether the appointment journey is working.
- To keep the website reliable, prevent abuse and investigate security incidents.
- To meet legal, regulatory, accounting or professional obligations when applicable.
We use appointment-form information on the basis of your request and consent. Analytics is optional and can be changed through Cookie settings. You may withdraw consent for future contact, but this does not affect processing already performed or records that must be retained for another lawful reason.
4. Appointment requests and WhatsApp
The website first saves a valid appointment request in Vardan's separate appointment database, then shows a confirmation page with the request reference. That page offers an optional WhatsApp link so you can contact the clinic for confirmation or rescheduling. If you continue in WhatsApp, Meta/WhatsApp processes the communication under its own privacy terms, which Vardan does not control.
An online request is not a confirmed appointment. The clinic must contact you and confirm the date and time.
5. Who may receive information
Access is limited to authorised clinic personnel and service providers who need it to operate the website, database, communications or security. Information may also be disclosed where required by law, to protect a person from serious harm, or in connection with a legitimate legal claim. We do not sell appointment information or use it for third-party advertising.
6. Retention
Appointment enquiries are kept only for as long as reasonably needed to respond, administer follow-up, protect against disputes or meet legal obligations. Retention depends on whether an enquiry becomes a confirmed visit and whether the information forms part of a clinical, billing or regulatory record. Records collected during care are maintained separately from this public appointment form.
7. Security
We use reasonable administrative and technical measures intended to protect submitted information, including validated form inputs and restricted database access. No internet transmission or storage system can be guaranteed completely secure. If you believe information has been exposed or misused, contact us promptly.
8. Your choices and rights
Subject to applicable law, you may ask for a summary of personal information held about you, correction of inaccurate information, erasure where appropriate, withdrawal of consent, or review of a grievance. To protect confidentiality, we may need to verify your identity before acting. Contact the clinic using the details above and describe your request clearly.
9. Children
The public website is not intended for children to submit personal information independently. A parent or lawful guardian should make appointment requests for anyone under 18 and should avoid adding sensitive details to the message box.
10. External services and overseas processing
Google Analytics, Google Maps, Google reviews, email and WhatsApp are services operated by other organisations. Their own terms apply. Depending on the provider and its infrastructure, information may be processed outside India, subject to applicable law and the provider's safeguards.
11. Complaints and policy changes
Please contact the clinic first if you have a privacy concern so it can be investigated and addressed. This policy may be updated when the website, service providers or legal requirements change. The date above identifies the current version.
